Booth Information

Included in the cost of exhibiting is one standard single exhibition booth, unless other arrangements have been agreed upon. Specifications are as follows:

  • Single pipe and drape booth size – 10′ (3m) wide x 10′ (3m) deep, 8′ (2.4m) high drape back wall, 4′ (1.2m) high drape side wings.
  • 1 x 6′ (1.8m) long skirted display table and 2 x chairs.
  • 1 x paper booth identification number sign.
  • Power – 1 x standard 15amp power outlet per 3×2 m booth. If you require additional outlets, higher voltage, or special placement, please order directly through the Vancouver Convention Centre. Additional costs will be the exhibitor’s responsibility. 
  • Access to Wi-Fi Network:

Please note: lighting is not included in the booth and can be rented if required.

Our exhibition hire company has a wide range of booth furniture and display items for hire. These can be seen in the exhibitor manual, or online at showinmotion.com/trade-show-rentals

Please ensure your order forms are returned by 3 October 2025 and emailed to orders@showinmotion.com

You will also need to contact the Vancouver Convention Centre for the following items:

On-Site
The VCC exhibit services desk will be open during exhibitor move-in and the first two hours of show open. On-site orders can be placed at the desk but will be subject to late-rate pricing.
For assistance outside of service desk/office hours during show open, exhibitors can call or text our guest services operations centre at +1 604-647-7299, available 24/7.

Important Reminder
Due to WorkSafeBC regulations, all exhibitors must wear approved high-visibility vests during move-in and move-out. Safety vests are available for purchase via the online ordering portal and can be picked up at the Exhibit Services Office during move-in. They’re also available in vending machines located at the West Loading Bays and East Delegate Concourse.

Please note: The ACG takes no responsibility for lost, stolen or damaged exhibition booth items. Security of exhibition booth items is the responsibility of the exhibitor. Any agreements for furniture hire including custom booths, are between the exhibition supplier and the exhibitor and do not involve the ACG. View sponsor terms and conditions.

Delegate Bag Inserts*

If you have a delegate bag insert included in your package, the deadline for delivery of your inserts to Show in Motion is Friday 17 October 2025. Please ensure you have “SSIM 2025 Delegate Bag Inserts” written on the delivery label. The quantity of inserts to send will be up to 350 units. A sample or description of the insert is required by the ACG no later than Tuesday 30 September.

*A delegate bag insert is not an automatic entitlement for exhibitors. If unsure, please check your entitlements with the ACG. Email events-acg@uwa.edu.au.

Display Materials

All display materials must be flameproof and are subject to inspection. Exhibition/display areas must be sited to allow access to emergency exits and firefighting equipment. No attachments are to be made to the flooring, ceilings, internal walls or furnishings of the venue. It is the responsibility of the exhibitor to return the area to its original condition.

Electrical

All electrical equipment brought into the venue must be tested and tagged by a registered electrician. This includes extension leads, power boards and double adaptors.

IMPORTANT

The Vancouver Convention Centre adheres to a STRICT no shipments policy and does not allow direct to show shipments of any kind. All exhibit material must be shipped to the address shown below, or use the delivery label:
